2 · What we collect
- Contact details — name, email address, phone number, preferred messaging channel, and the country or port you are shipping to. Collected when you submit a vehicle request or open an account.
- Request details — the vehicle, lot number, maximum bid, destination and any notes you send us.
- Verification records — for clients and partner dealers: identity documents, company registration, dealer licence and auction credentials, and the results of sanctions and PEP screening. Required by law before we can transact on your behalf.
- Transaction records — payments, invoices, bid authorisations, title documents and shipping paperwork.

We share only what a given party needs to do its job:
- Auction houses, for registration and bidding under our licence.
- Inland carriers, warehouses, ocean freight lines and customs brokers, for movement and clearance.
- Banks and payment processors, for funds transfer.
- Screening and verification providers, for KYC, KYB and sanctions checks.
- Other Milestone family companies, where they perform part of the service.
- Government authorities, where the law requires it.
We do not sell personal data, and we do not share it for third-party advertising.
5 · Transfers outside your country
Delivering this service moves data between the United States, Georgia and your own country by necessity — the car is bought in one and cleared in another. Where data leaves the EEA or the UK we rely on standard contractual clauses or an adequacy decision. Ask us and we will tell you which applies to your transaction.
6 · How long we keep it
- Enquiries that do not become transactions — [ 24 MONTHS? ] from last contact.
- Transaction, tax and customs records — for the statutory retention period in each relevant jurisdiction, typically [ 6–10 YEARS — CONFIRM ].
- Verification and sanctions records — as required by anti-money-laundering rules.
7 · Your rights
Depending on where you live, you can ask us to give you a copy of your data, correct it, delete it, restrict or stop a particular use, or send it to another provider. You can also withdraw consent at any time where consent is the basis we rely on.
Write to info@milestonedealers.com. We answer within 30 days. Some records — customs filings, sanctions checks, tax documents — we are legally required to keep even if you ask us to delete them, and we will say so plainly rather than quietly refuse. If you are unhappy with our answer you can complain to your national data protection authority.

Access to client records is limited to staff who need it for the transaction in front of them. Documents you upload are held in the account they were uploaded to.
