Last updated 28 July 2026 · Version 1.0 — draft pending counsel review

This document is a working draft prepared for review by qualified counsel. Fields marked in gold require confirmation from Milestone before publication, and the whole text must be reviewed against Georgian law and, where EU residents are served, the GDPR. Do not treat this as legal advice.

This policy explains what personal data MilestoneDealers collects when you use this website or engage us to buy, clear and ship a vehicle, why we hold it, and what you can ask us to do with it.

1 · Who we are

MilestoneDealers is a managed vehicle purchasing and export logistics service operated by [ FULL LEGAL ENTITY NAME ], registered in [ JURISDICTION ] under company number [ REGISTRATION NO. ], registered office [ REGISTERED ADDRESS ].

We are the data controller for the information described here. Questions, requests and complaints go to info@milestonedealers.com.

2 · What we collect

  • Contact details — name, email address, phone number, preferred messaging channel, and the country or port you are shipping to. Collected when you submit a vehicle request or open an account.
  • Request details — the vehicle, lot number, maximum bid, destination and any notes you send us.
  • Verification records — for clients and partner dealers: identity documents, company registration, dealer licence and auction credentials, and the results of sanctions and PEP screening. Required by law before we can transact on your behalf.
  • Transaction records — payments, invoices, bid authorisations, title documents and shipping paperwork.
  • Technical data — IP address, browser and device type, pages visited and referring site. [ CONFIRM ONCE ANALYTICS IS INSTALLED ]

3 · Why we hold it, and on what basis

Purpose
Lawful basis
Responding to your vehicle request
Steps taken at your request before entering a contract
Buying, clearing and shipping your vehicle
Performance of our contract with you
Identity, sanctions and licence verification
Compliance with a legal obligation
Keeping records of bids and authorisations
Legitimate interest in an auditable transaction record
Improving the site
Consent, where cookies require it

4 · Who sees it

We share only what a given party needs to do its job:

  • Auction houses, for registration and bidding under our licence.
  • Inland carriers, warehouses, ocean freight lines and customs brokers, for movement and clearance.
  • Banks and payment processors, for funds transfer.
  • Screening and verification providers, for KYC, KYB and sanctions checks.
  • Other Milestone family companies, where they perform part of the service.
  • Government authorities, where the law requires it.

We do not sell personal data, and we do not share it for third-party advertising.

5 · Transfers outside your country

Delivering this service moves data between the United States, Georgia and your own country by necessity — the car is bought in one and cleared in another. Where data leaves the EEA or the UK we rely on standard contractual clauses or an adequacy decision. Ask us and we will tell you which applies to your transaction.

6 · How long we keep it

  • Enquiries that do not become transactions — [ 24 MONTHS? ] from last contact.
  • Transaction, tax and customs records — for the statutory retention period in each relevant jurisdiction, typically [ 6–10 YEARS — CONFIRM ].
  • Verification and sanctions records — as required by anti-money-laundering rules.

7 · Your rights

Depending on where you live, you can ask us to give you a copy of your data, correct it, delete it, restrict or stop a particular use, or send it to another provider. You can also withdraw consent at any time where consent is the basis we rely on.

Write to info@milestonedealers.com. We answer within 30 days. Some records — customs filings, sanctions checks, tax documents — we are legally required to keep even if you ask us to delete them, and we will say so plainly rather than quietly refuse. If you are unhappy with our answer you can complain to your national data protection authority.

8 · Cookies

This site stores your language choice and your session state in your browser so the site works as expected. It sets no advertising cookies. [ UPDATE THIS SECTION AND ADD A CONSENT BANNER WHEN ANALYTICS IS INSTALLED ]

9 · Security

Access to client records is limited to staff who need it for the transaction in front of them. Documents you upload are held in the account they were uploaded to. If a breach affects your data and creates a real risk to you, we will tell you and the relevant authority within the time the law allows.

10 · Changes

If we change how we use your data in a way that matters, we will update the date at the top of this page and tell account holders directly.

These terms govern the use of this website and any vehicle purchase, clearance or shipping service Milestone performs for you. Submitting a vehicle request or opening an account means you accept them.

1 · What Milestone does

We act as your buying agent. We source vehicles at U.S. auctions, vet them, bid under Milestone's own dealer credentials, fund the purchase, handle title, and move the car to your destination port.

You never rent, borrow or operate under our auction credentials, and we do not operate under yours. Every bid is placed by Milestone against a written authorisation from you.

2 · Who can use the service

You must be at least 18, legally able to enter a contract, and able to pass identity, sanctions and — for partner dealers — licence verification. We may decline or discontinue service where verification fails or where a transaction would breach sanctions or export controls.

3 · Quotes and estimates

Landed-cost figures produced by the calculator on this site are estimates for planning. They are based on published fee schedules and prevailing freight rates at the time of calculation.

They are not a quotation and not a price guarantee. Auction fees, freight rates, duty and statutory charges change, and the figure that binds is the one on your written quotation.

4 · Deposit

Before we bid, you place a refundable deposit of [ 10% ] of your authorised maximum bid, with a minimum of [ $500 ].

It is returned in full, to the account it came from, within [ 5 ] business days if we do not win a vehicle for you, or if you withdraw the authorisation before the lot goes to auction. If we win the lot at or under your authorised ceiling, the deposit is applied to the purchase.

The deposit is forfeited only where you win a lot and then fail to fund the balance, since the auction house holds Milestone liable for the hammer price regardless. That is the one case, and we will always tell you before it applies.

5 · Bidding

You set a maximum bid in writing. We do not exceed it. If bidding passes your ceiling, we stop, and no fee is due.

Auctions are competitive and we cannot guarantee we will win any given lot. Every bid we place on your behalf is logged with a timestamp and the authorisation it was placed against, and you can request that log at any time.

6 · Vehicle condition

Auction vehicles are sold as-is. Our vetting — title and import risk, hidden-damage probability, repair range — is a professional assessment based on the information the auction publishes, not a warranty and not a physical inspection unless one is separately commissioned.

Undisclosed damage found after purchase is a matter between you and the auction house under its own dispute rules. We will pursue an arbitration claim on your behalf where the grounds exist.

7 · Title and documents

We handle title collection and forwarding. U.S. title issuance is controlled by the auction house and the issuing state, and delays there are outside our control. We report status as we receive it rather than estimating.

8 · Shipping timelines

Transit times shown on this site are typical ranges from recent shipments, not commitments. Sailing schedules, port congestion, weather and customs inspection all move the date. We update your arrival estimate as each gate is passed.

9 · Duty, taxes and clearance

Import duty, excise and taxes at the destination are your responsibility unless your written quotation states otherwise. Rates are set by the destination government and can change between purchase and arrival. Where we quote a figure we quote the rate in force on the day of quotation.

10 · Cancellation

You can withdraw a bid authorisation at any time before the lot goes to auction, at no cost, with the deposit returned as set out in section 4. Once a lot is won the purchase is binding on Milestone and therefore on you.

11 · Our liability

We are liable for failures in the service we perform. We are not liable for the condition of a vehicle sold as-is, for the acts of auction houses or carriers, for currency movement, or for indirect losses such as lost resale profit. Nothing here limits liability for fraud, death or personal injury, or anything else that cannot be limited by law. Our total liability on any transaction is capped at [ THE FEES PAID ON THAT TRANSACTION — CONFIRM WITH COUNSEL ].

12 · Governing law

These terms are governed by the law of [ JURISDICTION ], and disputes go to the courts of [ VENUE ]. We would rather resolve a complaint directly — write to info@milestonedealers.com first.

13 · Changes

We may update these terms. The version that applies to your transaction is the one in force on the day your request was accepted, and we will keep prior versions available on request.
